Terms and Conditions 1. Minimum night stays Minimum night stays are designated for the cottages and Manager's House. For reservations over holidays such as the Fourth of July, Thanksgiving, Christmas and New Year's Eve, we require a seven night minimum stay. 2. Cleaning Fees At the time you make your reservation, we will collect a cleaning fee. For the two bedroom cottages, this amount will be $150; for the Manager's House it will be $250 to $325, depending on whether it is rented as a 4 bedroom property, or a 5 bedroom one. The cleaning fee for the Studio Suite rented by itself is $80. All cleaning fees are quoted exclusive of Hawaii state tax of 4.166%. 3. Security Deposit We will collect a security deposit of $100 at the time you make your reservation. If, after your departure, we find that items have been damaged or broken, or are missing, we reserve the right to deduct the price to repair or replace these items from your security deposit before returning the remainder to you. If you are holding an event at Hale Pohaku and require a tent to be erected, we may charge you an extra $500 security deposit. Please allow us up to four weeks to process the return of your security deposit, although in most cases it will be returned to you within two to three weeks of your departure. 4. Deposits to confirm your reservation To confirm your reservation, we require a deposit of 50% of the total amount due (including the cleaning fee and tax). We accept VISA, Mastercard, American Express, Discover, and Paypal, as well as personal checks. The remaining amount is due sixty days prior to your arrival (unless you have rented the entire complex, in which case the remaining amount is due ninety days prior to your arrival). If you have paid your deposit with a credit card, we will automatically charge that card for the remainder due at the appropriate time, unless you instruct us otherwise. 5. Cancellation Policy If you are renting all of Hale Pohaku and you cancel ninety days or more prior to your arrival, we will refund all monies held with the exception of a handling fee of $250. If you have rented an individual unit, or combination of units other than the entire complex, and you cancel sixty days or more prior to your arrival, we will refund all monies held with the exception of a handling fee of $50 per unit rented. If you reserved one unit, the fee will be $50; if you reserved 2 units, the fee will be $100, etc. If you cancel less than sixty days in advance of your arrival (or less than ninety days prior to your arrival if you have reserved the entire complex), we can only refund those nights which we manage to re-book. If we cannot rebook all or part of your stay, we will retain the reservation funds for those days. We recommend you check into travel cancellation insurance. This is available on the internet, by searching for "travel cancellation insurance" in any search engine. 6. Taxes All room rates quoted are exclusive of Hawaii state tax of 11.42%. The cleaning fees quoted are exclusive of Hawaii state tax of 4.166%. No tax is charged on the security deposit. 7. Keys The keys to each unit are kept in lock boxes outside the doors. When you confirm your reservation with us, you will receive the combination for the lockbox for your unit. In addition to the key in your lockbox, there will be a second key inside the unit. We ask that you please keep one key in the lockbox at all times so that you can let yourself in if you accidentally lock yourself out. If you lose one of the keys to your unit, you will be charged a fee of $25. This fee will be charged to your credit card, or deducted from your security deposit. 8. Smoking All units are non-smoking. You may smoke outside in the gardens, but we ask that you please be considerate of our other guests. If, after you check out, we ascertain that you have smoked inside the unit, we will deduct an additional $50 deep cleaning charge from your security deposit. 9. Check-in and Check-out times Check-in is anytime after 3:00 p.m. Check-out is by 10:00 a.m. 10. Confirmation of your reservation is taken as evidence that you have read and understood our terms and conditions.
